Week 7: Maximizing Your Day for Optimal Productivity


As we move into Week 7 of our journey to thrive in 2025, it's time to dive deeper into productivity. We often find ourselves overwhelmed with the sheer number of things we need to accomplish. Or, we derive a sense of importance from our business which is frequently mistaken for productivity. The secret isn't about working harder; it’s about working smarter. In today’s entry, I’m breaking down five essential strategies that can help you optimize your daily productivity and, most importantly, take care of yourself along the way. After all, we're human beings, not human doings!


1. Set Your Top 3 Most Important Tasks (MITs) for the Day

The first step in maximizing your productivity is to set your top three most important tasks for the day. By identifying what truly matters, you allow yourself to focus on what's critical, preventing you from getting lost in the daily clutter of tasks that don't move the needle.

Why is this important? When you focus on only your MITs, you eliminate distractions and ensure your energy is dedicated to what truly advances your progress. But it’s not just about the tasks; it’s about when you do them. The ultradian rhythm—our natural cycles of alertness last about 90 minutes. Understanding this cycle can help guide your scheduling. Our bodies are naturally designed to work in focused bursts followed by an interval of rest. By scheduling your most important tasks during your peak energy windows, usually in the morning or mid-afternoon, you align with your natural rhythm, making your work more efficient and effective.


2. Set a Timer to Focus on Tasks for 25 Minutes at a Time

Staying focused can be tough in a world full of distractions. That’s where the Pomodoro Technique comes in: set a timer for 25 minutes of focus work, followed by a short break. This method capitalizes on the fact that we can only concentrate deeply for a limited period, typically around 25 minutes. After that, our minds start to lose focus.

Why is this important? The Pomodoro Technique helps maintain focus while preventing mental fatigue. By working in short bursts, you not only stay productive but also give yourself the necessary mental rest to keep your energy up throughout the day. By scheduling these 25-minute focus intervals, you are stacking up small wins throughout the day, which leads to a sense of accomplishment and progress.


3. Take Short Breaks Between Each Task

It's easy to think that taking breaks slows you down, in reality, breaks are crucial to maintaining long-term productivity. Short, intentional breaks that include grounding activities such as breathwork, stretching, or the 5-4-3-2-1 technique (where you identify 5 things you can see, 4 you can touch, 3 you can hear, 2 you can smell, and 1 you can taste) can reset your mind and body, enhancing your focus when you return to your task.

Why is this important? Your body and mind need recovery time to function at their best. These short breaks also act as mini self-care sessions, which help alleviate stress, recharge your energy, and boost your mental clarity. Regular breaks are essential to avoid burnout and ensure your ability to work sustainably. Remember, "small things, often."


4. Use Time-Blocking to Schedule Self-Care, Tasks, and Breaks

Time-blocking is a strategy that involves scheduling specific blocks of time for each task and activity throughout your day. The key to successful time-blocking is not just putting your work tasks on the schedule but also reserving time for self-care and breaks. The things we schedule tend to happen, be it medical appointments or beauty treatments. These are examples of destination self-care. However, self-care is also about the small moments—taking a moment to pause, reflect, reset, and nurture your well-being during the day.

Why is this important? When we schedule our self-care and breaks, they are just as important as work tasks, helping to create a balanced and sustainable day. Little acts of self-care—like stepping outside for fresh air or doing a quick stretch—allow you to show up fully present for your work and life. Time-blocking ensures that you honor these small, yet impactful, moments throughout your day.


5. Allow Your Schedule to Say "No" to Anything That Doesn’t Align with Your Priorities

One of the hardest things to do is say no, especially when we’re trying to be accommodating to others. However, saying no to tasks or requests that don’t align with your priorities is a powerful way to say “yes” to yourself. It ensures that your time is spent on the things that matter most, giving you the space and energy to focus on your MITs, self-care, and long-term goals.

Why is this important? By saying no, you protect your energy and maintain control over your time. Instead of getting caught in a cycle of endless tasks, you are intentionally directing your efforts toward the things that support your goals and values. Saying no is an act of self-respect that ensures you're not overcommitting or spreading yourself too thin.
